SharePoint governance

Frane Borozan - December 12, 2022

SharePoint governance is the process of establishing and maintaining policies, procedures, and standards for the effective and efficient use of SharePoint in an organization. Governance helps ensure that SharePoint is used consistently and in alignment with the organization’s goals and objectives.

There are several steps that you can take to implement SharePoint governance in your organization:

  1. Develop a governance plan: This plan should outline the roles and responsibilities of the different stakeholders involved in SharePoint governance, such as the governance team, site owners, and end users. It should also define the processes and standards for using SharePoint, such as how to create and manage sites, how to manage content and permissions, and how to handle data governance and compliance.
  2. Communicate the governance plan: Share the governance plan with all stakeholders to ensure that everyone understands their roles and responsibilities and knows how to use SharePoint in accordance with the plan. You can use various communication channels, such as newsletters, training sessions, and online resources, to make sure the governance plan is widely known and understood.
  3. Monitor and enforce the governance plan: Regularly monitor the use of SharePoint to ensure that it is aligned with the governance plan. Use tools and processes, such as site audits, user surveys, and feedback mechanisms, to identify any deviations from the plan and take corrective action as needed.
  4. Review and update the governance plan: As the organization and its use of SharePoint evolve, it may be necessary to review and update the governance plan to ensure that it remains relevant and effective. This can be done through regular governance meetings, where the governance team can discuss any changes or challenges and make adjustments to the plan as needed.

By implementing these steps, you can establish and maintain effective SharePoint governance in your organization, ensuring that SharePoint is used consistently and in alignment with the organization’s goals and objectives.
